SchoolDocs sites are organised into sections that reflect operational requirements for schools. The table of contents shows the key policy for each section, with dropdown menus that show supporting policies and procedures.

For a list of important policies and procedures, search for Quick Links pages designed for school staff, and parents and whānau.

There are two main ways to find information on your SchoolDocs site, using the search and the table of contents.

Search

  1. Type a keyword or phrase into the search bar and press enter or click the search icon.
  2. View the search results and click a policy or document to see the content.
  3. Click Close Search to see where the policy fits into the table of contents.

Table of contents

  1. Click the arrow icon beside any policy to expand the table of contents and see related policies and procedures.
  2. Click the down arrow icon to collapse a section and return to an overview of the table of contents.
  3. To collapse the table of contents and return to the home page, click the SchoolDocs logo, or refresh your browser.

Printing

You can print any page on your SchoolDocs site by clicking the print icon at the top right of the page.

Note that SchoolDocs is constantly being updated, and printed policies and procedures will become out of date. Information is structured as accessible online content, with links to other information and resources, and loses functionality as a printed document.

The only policies we recommend printing are your emergency policies. See the list under Printed emergency plans and procedures in Emergency Management.

You should also keep a printed version of your Lockdown procedures with these documents. We don't put lockdown procedures on SchoolDocs sites for security reasons.

Reviews

All SchoolDocs schools follow a 3-year review schedule that ensures content stays up to date. Each term, schools can provide feedback on the content and implementation of policies under review. SchoolDocs uses feedback from all schools, along with research and external consultation, to make changes to content.

Reviews open at the beginning of each term. The whole school community can participate in reviews, but there are certain policies that are particularly important for the board to review. These are noted on the review schedule.

How to review

Read the policy, consider any feedback on content and implementation, and click on the Start your review button.

After the review

The principal and board can view review feedback from their school community.

The SchoolDocs team considers content feedback from all schools and uses this to make changes to policies that were reviewed. Schools are notified and advised to consider the changes before they are rolled out to school sites.

A summary of when content was last updated and what changes were made is available at the end of each policy.

Feedback

You can send feedback on a policy to the school at any time using the green feedback button at the top of the page.

While only a certain number of policies are available for review each term, SchoolDocs users can send feedback about any policy, at any time, directly to the school. Members of the school community can submit feedback to the school to request a change, query information in the policy, or provide implementation feedback.

Customisation

SchoolDocs provides subscribing schools with a comprehensive set of core policies and procedures that have been carefully written to meet good practice and legislative and regulatory requirements in Aotearoa.

The SchoolDocs Model and Demo sites use highlighting to show where schools can include school-specific wording in core topics. If a school requests changes to wording in a policy or procedure that is not designed to be changed (i.e. wording not highlighted), we may create a customised topic for the school. If this happens, schools should keep track of their customised topics and work with SchoolDocs to ensure they remain up to date.

If a topic has been customised, this is shown in the footer at the end of the page. The Topic type will say Core or Customised.

How do I know which topics are customised?

It's important that schools are aware of customised topics they have.

When SchoolDocs publishes updates to all school sites as a result of scheduled or internal review, we update Core topics. SchoolDocs will update customised topics where possible but this may mean your school is contacted to approve the update. If we don't get a response, the topic risks becoming out of date.
